Commitee Meeting Minutes
Cecilian Society Committee Meeting 30/05/02
Present: Liam, Libby, Jenny, Chris, Nadia, Tony, Eliza,
Gregor, Cate, John-Paul, Ali, Adele.
Apologies: Nicola.
Meeting opened: 6.09pm.
Amendments to minutes of 26/05/02: Curlers have contracts which may mean we
can get cheaper fliers and posters (not T-shirts).

Correspondence
- Jenny had correspondence from Curlers. The disco is on the 13th June.
- Gregor had correspondence from the SRC about a Clubs and Societies
meeting on the 10th June. John-Paul, Tony, and Libby will go to it.
- Eliza went to see the piano at the GU. It was rubbish half the keys
were missing.
- Tony had a contract for the Cottiers for the 50th celebrations. He will
discuss it at the next sub-committee meeting.
- Ali received the Hello Dolly and High Society perusal material. We just
need to get the West Side Story score.
- Adele had heard from the Theatre Guild. Because of their contract, we
probably wouldnt get a licence to do it. There may be a version that isnt
covered by their licence. They are going to discuss it at their meeting on
Wednesday, but if we decide not to do it on Sunday, we should let them know
so that they don't need to discuss it.
- JP and Jenny went shopping. Shops wouldnt take our cheques so they are
to be reimbursed by Nadia for the things they bought. They got everything
except the jig-saw.
- Tony wrote to the occupants of 68 and 70 Oakfield Avenue. As well as
locking up procedure, he asked for anyone with keys for the storm door to
let us copy them. He hasnt had any replies yet.
Curlers
Jenny has started her proposal for Curlers. Apparently Curlers love our
asses. She needs various figures from Tony: Membership figures from last
year; whether we are doing the Christmas Concert; Grease audience figures;
Numbers of fliers and posters that we got made.
JP suggested that the concert party could do Cabaret nights at Curlers
once the CP is sorted.
It was also suggested that Curlers may want to sponsor part of our set.
We will have to check with the Mitchell to see if this would be ok.
Inter-Society Ceilidh
Stag are very enthusiastic and keen to encourage their members to go. The
date is fine with them. The chapel choir, madrigal girls and music club
still have to confirm but seem interested. The chapel choir and madrigal
girls dont have money to put towards it.
Chris left a message for the band to find out prices. Eliza couldnt book
Qudos that far in advance. She was told that Sundays would probably be
easier as they dont usually book bands then. We would still prefer Saturday
if possible.
If we share the costs, we also share losses. It was suggested that
members of societies who had contributed to the costs would be more likely
to come. We wont decide for definite until we have all the costs.
Concert Party
Auditions will be next Thursday. David Doig, Anne and JP will be the
audition panel. The concert party will sing at the 50th anniversary on
October 18th. Music Club event on June 2nd is too soon, and West End
festival programme is decided months in advance.
Libby will email the society to let them know about the auditions, and
get them to email JP if they want to audition so that a time table can be
made up.
50th anniversary
The sub-committee explained what was happening at the 50th weekend.
Birthday party/ceilidh on the Friday night. Everyone invited - £10 for band
and buffet. Saturday and Sunday will be the rehearsals for the concert on
Sunday evening at 6.30pm. After the concert, there is a dinner at the
Hilton Grosvenor. Its £50 to do everything, or you can pay for each element
separately. If you pay all at once, you get a free souvenir brochure.
We may need to publicise the concert for audience, but interest has been
shown already, and tickets have been sold. Dress for the concert will be
formal as the dinner is straight after and because of the license. JP,
Gregor, Barrie and Lorna Bailey will do a rehearsal schedule and arrange the
music.
There are possibilities that we can invite the old members to a champagne
reception for the spring show.
There will be an email sent round to let current members know that theyre
very welcome, and are encouraged, to come along to the weekend as well.
Review
We discussed what things about the committee were going well, and what could
be improved. Generally it was felt that the team was working well together,
that there was lots of enthusiasm, and that we were getting things done.
Tonys pleased with the level of communication. We could improve on decision
making after discussions, and it was suggested that we should leave other
committee business to a Thursday as we have lots of show stuff to do on
Sundays.
AOCB
- Gregor will deal with the Art School once the new president of their SRC
is elected.
- We should stop letting Thursday meetings run over into rehearsal time.
