Commitee Meeting Minutes
Cecilian Society Committee Meeting, 28/2/02, Upstairs in Curlers
Present: Gregor, Nicky, Ed, Tony, Libby, Ian, JP, Ali, Laura, Anne, Ewan, Adele, Lorna (briefly)

Correspondence
- Greg Hemphill loved the show.
- The Gauze has been sent back.
- The Pantheon enjoyed the show, as did Anne’s mum and dad.
- We have received copies of the SRC clubs and societies handbook and details of the next meeting.
- We have received our first cheque for the 50th anniversary.
- We are missing one How to Succeed Vocal Score.
- The Mitchell take their box office percentage before they invoice us: they sold 32 tickets. We didn’t ask for box
office staff - they should have sent the tickets up, so the man from the theatre said we shouldn’t have to pay for
the staff. We will need to complain about the noise from the disco on the Friday night. The theatre has been
provisionally booked for 17th-22nd next year.
- All hired and borrowed props etc. are still in Western Court.
Post-Mortem
Finance: We were £104.42 over-budget. We forgot to include miscellaneous expenditure e.g. for photocopying
and rehearsal room hire. We did, however, make a surplus on programmes and raffles. Once they are
included we have £385 left: Thank heaven for the sponsorship (round of applause for Adele). Overall
we have an £1100 surplus. We have £8800 in the bank with around £3600 still to come off. It was a
good idea for Libby to bulk-buy drink for the party, but we should always get money from people in
advance. (And drink should be kept back for the van-drivers...)
- The Production Team’s Point-of-View: We needed more time for the get-in; we had less stuff pre-built this
year; we really should have had a tech rehearsal.
- Ed said the band was too big, but Ian pointed out that that was the minimum band we could have had. The usual concerns were raised about paying the band,
and professionalism generally.
- The Mitchell tech staff were extremely helpful, but their FOH staff less
so.
- Ed felt that when choosing the production team, candidates on the committee should still have an
input. It was pointed out that no one complained at the time.
- Libby felt that Ed didn’t need an assistant director, but did need a director’s assistant. She also felt that she could have been in the chorus.
- Someone suggested making written job descriptions again.
- Everyone felt that more principal runs of the show would have been useful before adding the chorus.
- Rehearsing "in the space" made no difference to people’s understanding of the set.
- It was felt that the production team could have had more respect for the cast’s time.
- The rehearsal schedule should be flexible (principal rehearsals were generally fine.)
- We need proper warm-ups.
- Rehearsals should finish on time.
- Get a pianist sorted out early.
- More time should be given to official social announcements. IT’S MEANT TO BE FUN FOR GOODNESS’ SAKE!!!
- The less said about the tech. director the better, but the tech director should always OK things with the committee.
- Why did no one from the tech crew ever check what we own.
- The budget is not an arbitrary number.
- Laura requested that the committee be nice to each other.
Weekend Away
We can’t go to the Trossachs after all. We’re going to the Blackwater Hostel in Kinlochleven at £10 per person
per night. If we book 30 people we can have exclusive use of the hostel on Friday, but there are 5 people booked
in for Saturday. All rooms en-suite. We’ll ask everyone going to meet next Thursday to give details.
