Commitee Meeting Minutes
Minutes of Cecilian Society Committee Meeting 20/06/02
Present: JP, Ali, Adele, Libby, Nicola, Tony, Gregor.
Apologies: Liam, Jenny, Nadia, Eliza, Cate, Chris.
Meeting opened: 6.10pm.
Minutes 13/06/02 and 16/06/02 proposed JP, seconded Adele.
1 - Correspondence
Adele had confirmation of order from EH Advertising. The logo etc will be
printed instead of embroidered. Adele will phone to check they arent using
the bigger size logo. They should be using the smaller one. Adele needs a
cheque to pay for the order which should arrive on the 8th July. Nadia is
giving Tony the Treasurer stuff for the summer so he will give Adele a
cheque.
Ali has the contract for West Side Story to send off. He will put down the
capacity of the Mitchell Theatre after looking at last years contract. We
may want the orchestra parts earlier this year, probably 6 weeks minimum.
Various theatrical resources are available to assist with putting on the
show. Ali will send the contract off and we can decide with the production
team if any extras are wanted, once they are chosen.
2 - West Side Story
It was agreed that we dont need to inform the Pantheon directly that we are
doing this show it may suggest that we think it is an issue if we do.
Ali will put in a covering letter with the contract to let them know that
ticket prices/ number of performances etc may change but that we dont know
at this point in time. The rehearsal parts may be needed for longer than
usual, so this should be mentioned as well.
The Music Club have a Russian girl who may play for us. JP will get contact
details for her so that we can contact her once the production team is
chosen.
Tony will get a cheque for £350 to Ali.
3 - AOCB
- More money has been coming in for the 50th fund.
- Duncan has offered to be a pianist for the weekend show.
- In the letter to the QM, we should just mention general small costs for
the possibility of a pantomime, not specific microphone costs to see if they
are prepared to contribute at all.
- Piano Tony needs help to fit wheels on to the piano.
Mr McConachie wants it to be moveable so that his staff dont have to lift
it. It was agreed that the best option is a trolley as opposed to drilling
holes in it. JP, Tony and Ali will make one on Friday (21/06/02).
- We were charged an extra £50 because the piano had to be delivered
twice and they moved the old piano as well.
- JP and Adele bought a jigsaw and blades.
- There may be problems for rehearsals, with gigs being on at the QM. The
dates affected at the moment are 27th June, 19th Sept, 21st November. Will
have to remember this nearer the time if alternative rehearsal space is
needed.
- Tony hasnt yet had confirmation for the John Mac room for the 50th
weekend.
- Andy Walker will do the souvenir programme for the 50th.
- The meeting to choose the production team is provisionally set for
Wednesday 3rd July. Jenny is back but cant manage the Thursday will check
if she can manage the Wednesday.
