Commitee Meeting Minutes


Cecilian Society Committee Meeting 19/05/02

Present:

Meeting opened 7.14pm

Amendments to minutes of 16/05/02:

  1. The vote to do weekend show/ summer show was 9 to 2, to do a weekend show, with Nicola and Nadia abstaining.
  2. It was decided that whichever type of show we do, Cecilians who are involved in our own show, won’t be able to support the medical show. It is likely that with both types of show, there will be rehearsals on those evenings. Was amended to:

Minutes were proposed by Adele, and seconded by Eliza.

Correspondence

Eliza had correspondence from the GU to ask whether we wanted an old piano that they have. It was decided that if its in OK condition, we will take it as it will be handy to have. Eliza will let the GU know that we are interested, and she offered to go and see it and test it to see if it’s all right.

Libby had a letter from Stag. They are interested in the possibility of joint membership, and also in doing a joint production. It is unlikely that we have time at the moment, but will discuss it further on Thursday before responding.

There was a letter about locking up, and the need to do it properly. Tony offered to do as the letter said and get in contact with other users of the building to work out a communal way of locking up.

Libby had a 50th anniversary form and a cheque for £100 from two past members who are coming to the events in October. These were passed on to Nicola.

Barrie has said that he will donate £100 to the society to go towards a piano. He advised that we spend as much as possible in order to get a decent piano (eg. If possible, all of Alan Browns £500). He would like to help pick the piano with anyone else who is interested and the committee was happy for him to do this. Tony mentioned that two members of the committee would need to be present for expenditure over £250.

Chris has reserved 12 tickets for Honk! They are not paid for yet, so she will be collecting money tonight (Sunday) and on Thursday. 3 tickets were spare. Ed and Jenny wanted one each and so one is still spare. Chris will send out an email about it this week.

Gregor had a phone call about music stands but as we don’t have enough money to buy them, he didn’t take it any further.

Mitchell Theatre Times

The dates were looked at to see which term week was booked. We are pencilled in for 17th – 22nd February 2003. This seems to be Week 6 of term, so Ali will inquire as to whether Weeks 7 or 8 are free at the Mitchell, as the 17th may be a bit early in the term.

The times that we are allowed access to the theatre were also discussed. It was suggested that from last years experience, we need access till 11pm every night, and 12pm on Saturday for the get-out. We also want access from 1pm on Saturday. Ali will confirm these times with the theatre.

Weekend Show

Several show were suggested, and those who had suggested them (mainly John-Paul) described the shows and their suitability for being done in a weekend. The David Doig system of ABC was used to classify them by the whole committee, and a short-list of four shows was arrived at.

The shows on the shortlist are:

  • A Chorus Line
  • Annie
  • Best Little Whorehouse in Texas
  • Wizard of Oz.

Adele has the perusal material for Annie. Ali will get the perusal material for the other three. There is a potential problem with the Wizard of OZ as the Theatre Guild is putting it on sometime in October. It was decided that this shouldn’t stop us from enquiring about a licence, and it would be possible to speak to the Theatre Guild if there were problems. Adele knows someone in the Theatre Guild and she offered to broach the subject with them.

Since we didn’t decide on a show at this meeting, we will have to postpone the meeting where we decide on a production team. However, it would add to the discussion about the four shows if we knew which show the potential production team members would like to be involved in. Therefore, Libby will send out an email, asking for comments/preferences on the shows.

AOCB

  • Cate still needs a job. Membership is the job which has no one in charge of it at the moment. She will take responsibility for it just now, but we will discuss it more on Thursday.
  • Gregor also raised the point that parts hire for a show can be a problem. He had to buy himself a score as they weren’t available over the summer, when the show needs to be worked on. He thinks we should bear this in mind.
  • Nadia had contacted the Insurance Company. They say that we don’t need to increase our cover just now. If our buildings are broken into, we are covered, but if there is no break – in, we are not covered. This is what we had assumed.
