Commitee Meeting Minutes

Minutes Cecilian Society Committee Meeting 17/10/02

Present:

Tony, JP, Jenny, Libby, Eliza, Nadia, Chris, Cate, Nicola, Ali, Liam, Gregor, Adele.

Apologies:

Meeting opened: 6.10pm.

50th anniversary

Any available committee members should go to the hotel at 5pm to help set up and decorate the hall.
GUST are making a video diary of the weekend.
QM still needs to be booked.
Saturday night – anyone available should go to Lorna Baileys flat to make sandwiches for Sunday.
No one has checked with Curlers about food for Saturday since July. They will give us yellow card prices, but not free. Will go and see them and try to get sandwiches etc for 56 people. We could pay if we had to as we are not badly off at the moment.
Ewan and Adele have booked buses for Sunday after the concert. Sally has said that she can do it too, but will have to book a bus.

Cash

Libby will meet Tony at 11am tomorrow to get money out of the bank. We need petty cash, and various people have receipts that need to be paid.

Rugby shirts

Adele thanked Ewan Maclean for having paid for his rugby shirt. No one else has – we need to pay for them now. The plan is for Gregor, Lorna and JP to wear their rugby shirts all weekend to be easily identifiable. Therefore, no one else should wear theirs. There will be badges for sub-committee members so that people can ask them questions.

Letter from QM

We received a strongly worded letter about the weekend of the show. There are various things that they were unhappy about. After a discussion, we agreed that some of the things were definitely our fault and we should apologise for them. Other things, we didn’t feel were entirely our fault, and that the problem was one of communication between us and the QM. There have been misunderstandings on both sides. Adele, Ali and Tony will go to the QM board meeting to discuss it with the board members. They will also go and speak to the president as soon as possible to try and get a better atmosphere between the two parties. They will also raise the fact that a written contract was requested by us several times, and this would have solved many of the problems, but overall, they will go to apologise.

We should also make sure that we affiliate as soon as possible to avoid the problems of last year. Eliza will ensure that we are booked in on Thursdays for as long as is possible to book for. She will also book 2nd and 3rd November 10am to 10pm, and this Sunday 9am to 5pm.

Social

The Pantheon are doing West Side Story next week. We should go. Adele will give Chris the details. Chris will collect names and book tickets for the Tuesday night.

Halloween party – we decided to go to the Halloween disco in Curlers instead of having our own party, as we have enough on this term already. People can come in costume to the rehearsal on the 31st.

Ceilidh – Eliza is to check with the QM about booking Qudos, and the PA system. Stag haven’t replied yet. Music club may send some members if we send some to theirs.

Jenny informed us that we have not been given funding from the Lottery for the 50th anniversary.
