Commitee Meeting Minutes

Minutes Cecilian Society Committee Meeting 14/11/02

Present:

Nicola, Libby, Nadia, Eliza, Chris, Adele, Liam, Jenny, JP, Ali, Tony, Gregor, Cate.

Apologies:

None.

Meeting opened: 6.15pm. Tut tut.

Ticket Manager

Sally may be interested, if she decides not to be in the show. Tony is also interested. Nadia will ask Sally, and invite her to next weeks meeting if she does want to do it so it can be discussed then.

Intersoc Ceilidh

The first phase of posters are up. Tickets are multicoloured and ready to be sold. Coriolanus cast all have flyers, and Liam has their flyers to give out tonight. Tickets have been given to members of our committee to pass to Presidents of societies who want to come (24 tickets to each society). If they haven’t been sold by Thursday 21st November, they can give them back and we will sell them on the door. Chris will send Libby an email to send to the society advertising the ceilidh.

Moments from Musicals

Chris has tried to find out if the 19th December is free at Curlers, but can’t get it confirmed. She will try again. JP or Ali will make backing tracks if people give them music at least 2 weeks in advance. People can also use the soundtrack CD. Chris will also find out about the karaoke hire as we need the microphones etc. Ed will be the compere. Ali will announce that people should let Chris know what they are singing and have the music to JP/Ali by 5th December.

Weekend Away

We should start thinking about this soon. Libby wants to be involved in the planning as she enjoyed it last year. She will get info on places that looked good but were booked up last year. Can do preliminary discussion next week.

Christmas Concert

Music Club concert is on 17th December. Ali will contact Stag to find out about the one act play festival. Adele contacted Marie Curie. They are delighted to have us sing in Buchanan Galleries. She will phone and suggest Sunday 22nd, or Sunday 15th. Other than that, we could do Monday 16th or Wednesday 18th. Sub-city – we may not be able to use their studio now as they are recording for a broadcast. We could use Jenny’s show to air our music if we have a CD of ourselves. Her show is at 7pm-9pm on Wednesdays.

Concert Party

JP has had no reply yet from the over 60s. He spoke to Katie about lunchtime concerts as a possible. He has emailed the events manager at Borders but had no reply yet. The CP could get paid for this venue, and also Princess Square – can get paid for that. JP will need to phone or write as they don’t have a website.

Rehearsals

People have been emailing Adele to say they can’t come. Ali will announce tonight that it should be Ali for Thursdays, Fiona for Principal rehearsals, and Adele for dancing rehearsals that people contact. Also will announce that if you don’t come, you have to catch up yourself. If you can’t come regularly, you can’t really be in the show.

Web-site

The social posse website is not working. Gregor will change the link to Chris’s address.

WSS Publicity

Not ready yet – there was an error on the disk. Adele will go back with Nicola on Friday lunchtime, incase there are any more errors.

Affiliation

We need to do this soon. Will get people to put which union they are a member of next to their name on the membership list. Eliza will get an affiliation form from the office.

Keys

We need to get some new ones cut. Someone can have Libby’s set. For the new office, Liam will ask for 5 sets of keys. Hugh Harris wants to know who will have keys and their position on the committee.

New Office

Liam spoke to Hugh Harris. The new storeroom is ready to be used. Can start moving stuff as soon as we like. The new office is being used by a PhD student – need to wait until they are finished before we can move. The room may be too small to share with Stag. There could be problems with Stag just taking things, even if we have a system of booking things out. We think that we have two rooms and we are thinking about sharing one with Stag. Liam thinks that Stag thinks that we have 1 ½ rooms each. This will need to be discussed with Stag. Liam will bring it up at the Stag committee meeting. Liam will buy plastic boxes so that packing can start. We also have shelves that can be put up in the new office.

Costumes

A cheerleading skirt and 2 torches are still missing. Ali will ask people about them tonight. If not back by next week, will have to pay for them.

AOCB:

Petty Cash - Email Nadia if you want petty cash as she will not take it every week.
Bookings - Eliza needs to know when rooms are needed. She will talk to the production team about this, as there are different things needed all the time.
Videos - Nicola may need to hire a video camera as Media Services are not being helpful.
Meetings - Sam wants meetings to end by 7 so that rehearsals can start at 7pm. Committee members who can be, need to be here at 6 so that meetings don’t run over.
