2013-14 Erasmus Staff Training Mobility Funding (for all staff)

Aim: For staff to acquire knowledge, practical skills and expertise from training abroad which is relevant for their current job and their professional development.

Training activities: Staff training is an open to all university staff with the option to go to another university or an enterprise.
Within the broad objective of staff training this action encompasses three types of mobility:

  1. Mobility of staff to an enterprise.
    The purpose is to allow the beneficiaries to learn by transfer of knowledge and to acquire practical skills. The activities can include: language training, seminars, workshops, courses and conferences.
  2. Mobility of administrative and other non-teaching staff from an HEI going to a partner HEI.
    The purpose is to allow the beneficiaries to learn from the experiences and good practices of a partner HEI and to improve the skills required for their current job. The main activity is a short stay in the partner HEI that may include a short secondment period, job-shadowing scheme, study visit, etc.
  3. Mobility of teaching staff in an HEI going to a partner HEI for the purpose of receiving training.
    As at 1. above the activities may include language training, seminars, workshops, courses and conferences. There is only very limited funding for this type of activity.

Formal periods of practical training, short secondments, etc. should account for the majority of the activities carried out.
Applicants must submit a Training Work Plan which has been endorsed by both Glasgow University and the host institution or enterprise. The essential elements of the work plan should cover overall aims and objectives, expected results in terms of training or learning, activities to be carried out and, where possible, a detailed programme for the period abroad.

Where: Enterprises; HEI that hold an Erasmus University Charter (EUC) but does not need to have an inter-institutional agreement with the University of Glasgow.

Duration: The training period must be from 5 working days to 6 weeks. Shorter stays are allowed in the case of attendance of seminars, workshops and conferences but must be well-justified with specific attention to the content and relevance for the staff concerned. Travel days are not included in the minimum duration.

Funding: Mobility grants for staff are provided as contributions towards subsistence and travel. Both travel and subsistence costs are calculated on the basis of receipted expenditure, not to exceed the maximum allowable amounts. A maximum of €500 is available towards travel costs to and from the partner institution. Maximum amounts available towards subsistence (including accommodation) vary according to the length and destination of the visit, please see the British Council subsistence rates 13-14.

Costs should be claimed using the University's current standard expenses claim form. All expenses, including travel and subsistence, are receipted and all original receipts must be provided. Expenses claim forms must be submitted within 1 month of the completion of the mobility.

Erasmus documentation: Staff whose applications are successful must complete required Erasmus documentation.

Prior to departure:
Training work plan must be agreed in advance of the mobility and a Training Mobility contract

At end of mobility: Confirmation of training form

On return:
Training Report Form (Online report link will be provided to participants)


Application process and timings:

  1. Consult Line Manager or Head of School for initial approval of your proposed mobility.
  2. Erasmus Staff Mobility application form are submitted to your Head of Service or Dean of Learning & Teaching.
  3. DEADLINE to submit an application is Friday, 11 October 2013.
  4. The Head of Service/Dean of Learning & Teaching will review and select applications to put forward for funding. These should be submitted to the Erasmus office by Friday, 25 October 2013.
  5. You will be notified of the status of your application in early to mid-November.

Application notes:

  • Please complete the Application form and be clear if your budget is in pounds, euros, or another currency (preferably euros).
  • British Council subsistence rates 13-14 sets out maximum subsistence rates in euros, per country and duration. This maximum amount will change if the final duration is not the same as proposed. We'll likely not be able to pay more than your proposed amount, so be as accurate as possible.
  • Use the isced econ sector codes 2013-14 to assist with part IV of the application form.
  • British Council Handbook training extract  has been adapted from the Handbook for 2013/2014 and provides guidelines for training mobility, including minimum and maximum duration, travel rates, etc.
  • In the case of training for five days or less, weekends or holidays falling in the period of the stay abroad are not considered for support, unless they are used as working or travel days. In such cases the work plan should demonstrate that training activities have been undertaken for the period reported.
